Process Automation

Most companies are so used to how thier business operates that they don’t think how their processes really work. Process Automation is powerful — but without Process Mining, you’re guessing what to automate and why. Company X helps you map, measure, and improve your workflows with a strategy-first approach that blends transparency, efficiency, and human-centered design.

What Is Process Mining?

Process mining is the practice of discovering, monitoring, and improving real business processes by extracting knowledge from interviews, event logs, and observations. Instead of relying on assumptions or manual mapping, process mining reveals:

  • What processes actually look like (not just how they’re supposed to work)

  • Where bottlenecks and inefficiencies occur

  • How long each part of a process takes

  • Where standardization and/or automation can deliver value

Kind of like getting an X-ray before having surgery, it is how we ensure your automation journey starts from a position of knowledge.

Common Candidates for Automation
  • Repetitive data entry, even across systems

  • Approval workflows (time-off, expenses, purchasing, etc.)

  • Notifications, reminders, and escalations

  • File and email routing based on content, intent, and/or metadata

  • Report generation and data exports

Tasks That Shouldn't Be Automated
  • Nuanced judgment calls

  • Emotional customer service or conflict resolution

  • High-stakes decisions with ethical or legal implications

  • Collaborative planning and strategy sessions

  • Creative Problem Solving

Automation should support and enable people;
it cannot replicate their unique, irreplaceable value.

Robotic Process Automation

Our RPA platform of choice is Microsoft Power Automate, but we have used other RPA platforms, including OpenBots, to meet client needs – we choose tools that solve problems, not find problems based on the tools we want to use.  RPA allows you to connect and work across thousandsof platforms, applications, and services to:

  • Create flows between systems like SharePoint, Salesforce, Outlook, Excel, and more
  • Automate approvals, data syncs, and routing tasks
  • Reproduce lengthy and tedious data entry and/or data manipulation

Most software you already use, including Microsoft 365, QuickBooks, Salesforce, and even Gmail, has automation features that are underused. We can help you:

  • Unlock hidden capabilities
  • Build custom triggers and templates
  • Combine built-in tools with Power Automate for further efficiency

We look for oppurtunities to augment automation by layering in AI where it makes sense.  Such tasks that can benefit from this kind of advanced automation include:

  • Intelligent Document Processing
    • Classifying documents
    • Document routing
    • Data extraction
  • Auto-tagging emails or requests
  • Suggesting next best actions based on intent or behavior

The Process of Automation

Discovery Sessions

During our process discovery sessions, we perform a thorough evaluation of your current state, challenges, and goals. We assess your existing workflows, available resources, and desired outcomes to begin shaping a tailored, strategic automation plan.

Design and Implementation

While designing the automation plan, we translate insights into a custom strategy — mapping workflows, selecting tools, and building solutions tailored to your business. We then implement and test each automation to ensure it delivers exceptional value with minimal disruption.

Support and Optimization

We remain available after implementation to provide ongoing support, ensuring your automations run smoothly, adapt to change, and deliver consistent results. If preferred, we can also train your team to manage and maintain the systems independently.

Automation is About More than Just Efficiency

Automation often gets misrepresented as a way to cut jobs. We disagree. Smart automation:

  • Eliminates boring, repetitive work, freeing your team for higher-value thinking.

  • Supports your most skilled people by reducing context-switching.

  • Protects institutional knowledge by embedding steps into repeatable systems.

  • Builds resilience, so your organization can operate smoothly even when someone is out.

Process Automation isn’t about doing more with fewer people — it’s about doing better with the people you have.
